A practical training-budget worksheet

What will employee training actually cost?

Build two budgets: the cash you need to approve and the staff time the training will use. Start with an actual offer or your own clearly identified assumptions, then keep unresolved costs visible.

Tuition is only one line

The cash budget may also need exams, courseware, practice environments, travel, accommodation, applicable taxes, and a contingency for agreed risks. Record whether each item is included, extra, conditional, or unknown. Count it once.

Staff time includes preparation, attendance, travel time, and applying what was learned. It is a resource cost even when salary does not change. Calculate any separate backfill expense as an additional cash cost; do not describe ordinary staff time as money you will automatically save.

For a private class, use a quote covering the actual learner count and scope. Multiplying a published per-person price produces a scenario for public seats, not a private-team quote.

Your numbers, your comparison

Compare public seats with a private class

Enter USD amounts for the same group. Leave unknowns blank; enter 0 only when a cost is confirmed absent or already included elsewhere. Blank or invalid values never count as zero.

Use nonnegative values with up to two decimal places; learner count must be a whole number from 1 to 10,000. Limits: 1,000 hours, $100,000 hourly staff cost, and $1,000,000 for each cash input. Keep all amounts in the same currency.

Staff time is an internal resource estimate, not necessarily an extra invoice or recoverable cash saving. Include preparation, attendance, travel time, and follow-up practice where relevant. Use a blended hourly rate if staff costs differ.

Extras may include exams, lab access, materials, travel, applicable taxes, or contingency. Add only costs not already included in tuition. Confirm private-class capacity and the price for your actual learner count before using a quote.

Complete both scenarios to compare combined resource costs.

Public seats — missing or invalid: learner count, tuition, hours per learner, hourly staff cost, extras per learner, extras for the group.

Private class — missing or invalid: learner count, tuition, hours per learner, hourly staff cost, extras per learner, extras for the group.

Add offer context and approval questions to your handoff

Record non-sensitive notes. Identify whether each amount comes from an actual quote, a published public-seat offer or your own assumption. This does not verify a provider’s terms.

How the calculation works

Public cash = learners × (tuition per learner + extras per learner) + group extras. Private cash = group tuition + learners × extras per learner + group extras.

Staff time = learners × hours per learner × hourly staff cost. Combined resource cost = cash budget + staff time. Each line rounds to cents. The tool does not infer discounts, seat availability, tax treatment, provider quality, or return on investment.

Take the budget into an approval conversation

The summary includes your entered values, calculated lines, missing or invalid inputs and offer notes. Keep it beside the itemized quotes; it is not approval to purchase.

Check existing training credits before requesting more cash

Record the full course cost, any confirmed prepaid entitlement you plan to use, and the remaining cash requirement separately. Prepaid training still uses a resource; it does not remove staff time or make an unsuitable course worthwhile. The calculator above does not validate or redeem benefits.

Cisco Learning Credits: verify the exact debit

Cisco Learning Credits (CLCs) are prepaid company payment credits, with each credit valued at US$100. Cisco’s purchase SKU table establishes that value; it does not establish the credit charge for a particular class. CLCs are different from Cisco Continuing Education credits that an individual earns toward recertification.

  1. Define the work requirement, learner count and readiness before selecting training.
  2. Ask your organization’s Team Captain to confirm the balance, exact expiry and debit-approval route in the Learning Credit Management Tool (LCMT).
  3. Check the exact item or class for CLC eligibility, prerequisites, delivery, dates and its stated total credit charge. A provider relationship or course title alone does not confirm eligibility.
  4. Keep staff time, travel, lodging, backfill and every other uncovered or unknown cost in the approval budget.

Cisco’s Team Captain FAQ says credits are active for 365 days from invoice, while Cisco’s main program page describes one year from issue. Use the exact expiry shown in LCMT. The FAQ says credits are nonrefundable and calls for Team Captain approval before training or an event where possible; do not assume an extension, refund or last-minute approval.

For Cisco’s own instructor-led and virtual instructor-led store orders, its current delivery-store guidance says applicable tax must also be paid in CLCs and the charge rounds up to a whole credit. Verify the final checkout debit. A Cisco-store tax rule does not establish how a separate Learning Partner structures its offer.

Separate payment from renewal credit. A CLC-eligible item does not automatically establish that it awards Continuing Education credits. Cisco’s CE qualifying-options guidance requires the activity to appear in the CE catalog and use an authorized delivery. Check CLC payment eligibility and CE eligibility independently.

Illustrative allocation: a team begins with a synthetic balance of 60 CLCs and enters a synthetic 42-CLC total debit for an exact eligible offering, leaving 18 CLCs if the entered information is confirmed. Those invented numbers are not a Cisco or provider price. The Team Captain still needs to verify the actual balance, expiry, debit, terms and approval; the buyer still budgets every uncovered cost.

Microsoft SATV has retired

Microsoft’s current Software Assurance terms state that Training Vouchers retired from Software Assurance benefits on February 1, 2021. An old SATV guide or provider page is not evidence of a current entitlement.

Start with Microsoft’s organizational learning resources. Ask your organization’s Microsoft account team about benefits actually available to it, including Enterprise Skills Initiative access where eligible. Confirm the provisioned offer; do not assume free instructor-led training or exam vouchers. Free Microsoft Learn content is also an alternative.

Program sources checked September 8, 2026 (UTC). The allocation checklist is editorial buying guidance; Learnerside does not verify balances or process redemptions.

Use prepaid credits deliberately

Plan a Cisco Learning Credits allocation

Use the exact CLC debit shown for the eligible item or class. Do not derive it by dividing a provider’s cash price by $100. Eligibility, taxes, rounding and terms can depend on the exact offering and purchase route.

Enter non-sensitive planning information only. Do not enter a Cisco account ID, Sales Order number, login, restricted quote or personal information. Nothing is sent or stored; entries disappear on refresh.

Enter the current LCMT balance and the exact total offering debit to calculate an allocation.

Still unresolved: exact offering or class, source and date checked, learner count, current LCMT balance, total CLC debit, exact LCMT expiry, exact-item CLC eligibility, Team Captain and approval route, uncovered cash costs.

CLC payment credits are not Cisco Continuing Education credits. Confirm payment eligibility and CE eligibility separately.
A sufficient entered balance does not establish course fit, availability, approval, or a completed redemption.

Organize a Cisco Learning Credits training decision →

Before asking for approval

  1. Record the course, delivery mode, audience, currency, date, and number of people covered by each offer.
  2. Resolve lab access, exams, support, substitutions, cancellation, and minimum-class conditions.
  3. Explain the work this training supports, how staff coverage will work, and what learners should demonstrate afterward.
  4. Request approval for the known costs and an explicit decision on unresolved items.

The calculation above is our transparent planning method, not a vendor price source or an ROI model. For dated provider observations, use the training-price research; verify a current offer before buying.

One decision, five short steps

Move from the work need to an approval-ready choice

Start wherever the decision is blocked. The comparison and budget worksheets stay in your browser; their entries do not carry into the separate planning page. If you choose to send its request form, its disclosed details go to Learnerside, not a provider. A later provider introduction requires separate consent naming that provider.Save completed notes in your organization’s approved workspace.

  1. 1
Define the work and learner need

Use optional browser-local planning, or explicitly send a short request to Learnerside. No provider receives it.

  2. 2
    Choose the delivery format

Compare self-study, public seats and a private cohort against the actual constraint.

  3. 3
Build the complete budget — you are here

Keep tuition, staff time, extras and unresolved costs separate.

  4. 4
    Compare exact offers

Check inclusions, price basis, dates, availability and terms without filling gaps by assumption.

  5. 5
    Prepare the approval brief

Turn the selected option, evidence and open questions into a reviewable local handoff.
